1. Two very different kinds of data

This policy covers two distinct relationships, and it matters which one applies to you.

Website visitors and prospective customers. When you browse this site, start a free trial or contact us, FertilityNXT is the data controller for the information you provide. That is the information described in sections 2 to 6.

Clinical data inside the platform. When a fertility clinic uses FertilityNXT, the clinic is the data controller for its patient, donor and staff records. We act as a data processor on that clinic’s written instructions, under a data processing agreement. We do not use clinical data for our own purposes, and we do not sell it.

2. Information we collect from this website

  • Information you give us — name, role, work email, phone number, clinic name, number of branches and anything you write in a message when you submit the demo or contact form.
  • Technical information — IP address, browser type, device type, referring page and pages viewed, collected to keep the site secure and to understand which content is useful.
  • Cookies — strictly necessary cookies required for the site to function, and, only where you consent, analytics cookies that help us measure content performance.

We do not ask for, and you should never submit, patient-identifiable information through any form on this website.

3. How we use it

  • To respond to your demo request, enquiry or security questionnaire
  • To prepare a proposal, quotation or implementation plan for your clinic
  • To provide, support and improve the FertilityNXT platform
  • To send service communications about a product you already use
  • To meet our legal, tax and regulatory obligations

We will only send you marketing communications where you have asked for them or where we have a lawful basis to do so, and every such message includes a one-click unsubscribe.

Where the GDPR or a comparable regime applies, we rely on: your consent for optional cookies and marketing; legitimate interests for responding to business enquiries and securing our services; performance of a contract for delivering the platform to a customer clinic; and legal obligation where retention or disclosure is required by law.

4. Sharing

We share information only with vetted sub-processors who help us operate — cloud hosting, email delivery, customer relationship management and analytics providers — each under contract, each restricted to the purpose we engaged them for. A current sub-processor list is available on request. We disclose information to authorities only where legally compelled, and we tell the affected customer unless prohibited from doing so.

5. Retention

Enquiry and demo-request data is retained for up to 24 months from your last interaction with us, unless you ask us to delete it sooner. Customer contract and billing records are retained as long as required by law. Clinical data inside a customer’s tenancy is retained according to that clinic’s own retention configuration and its data processing agreement with us.

6. Security

We apply role-based access control, least-privilege internal access and documented operational security practices. Current technical detail — hosting architecture, encryption, retention and recovery — is provided in our security documentation on request, so that what you receive is accurate and dated rather than a static claim on a web page.

7. Your rights

Subject to the law that applies to you, you may request access to the personal data we hold about you, correction of inaccurate data, deletion, restriction of processing, portability, or object to processing based on legitimate interests. You may also withdraw consent at any time. Write to info@fertilitynxt.com and we will respond within the period the applicable law requires.

If you are a patient of a clinic that uses FertilityNXT, please direct your request to that clinic — they control your record, and we will support them in fulfilling it.

8. International transfers

Hosting location options are agreed as part of your contract. Where personal data is transferred across borders, we use appropriate safeguards including standard contractual clauses.

9. Changes

We will update this page when our practices change and revise the date at the top. Material changes affecting customers are communicated directly.
